Questions reception teams ask
Straight answers about taking payments, plans, refunds, integrations and security on Medipay.
Pricing
What does Medipay cost?
Two parts: the portal from £19.99 a month, and a per-payment charge for card processing that we agree with you against a recent statement, so you see your real effective rate next to what you pay today. There is no published rate card; see the pricing page for why.
Is there a way to check what we pay now?
Yes. The cost calculator takes your turnover, payment count, headline rate, per-payment fee and fixed charges from your current statement and shows your effective rate and annual cost. Nothing is sent anywhere unless you ask for a quote.
Taking payments
What ways can a practice take a payment with Medipay?
Three. Send a pay link by email or text, which opens a branded payment page. Key a card payment over the phone in the virtual terminal. Or take it on a card machine at reception, where the payment is recorded in the portal automatically.
Can patients pay with Apple Pay?
Yes. Apple Pay is available on Medipay payment pages alongside card payments.
Why does every payment need a name and a reference?
So that no payment is ever a mystery. Staff enter both when they create a link or key a payment. If a patient pays through a generic link, they are asked for them before paying. Every line in your reports says who paid and what for.
Can we take a deposit now and the balance later?
Yes. The virtual terminal supports pre-authorise now, capture later. For treatment courses, instalment plans take a deposit first and collect the remaining instalments automatically on schedule.
Does Medipay send payment reminders?
Yes. Turn on automatic reminders for unpaid links and choose how often patients are chased. Every link also shows when the patient opened it, and you can opt in to a weekly summary of what is still outstanding.
Can we request payment from lots of patients at once?
Yes. Upload a CSV of invoices with name, email, amount, reference and description, check the preview, and Medipay creates a pay link for every row plus a results file you can mail-merge. See the batch payments guide.
Instalment plans
How do instalment plans work?
The practice sets the deposit, the number of instalments and the schedule. The patient pays the deposit, and each following instalment is collected automatically on its due date. The portal shows what has been collected and what is still to come.
What happens if an instalment fails?
The plan shows the failed instalment so your team can follow up, and the patient can settle early in one tap from their payment page.
Refunds and receipts
Can we refund a payment?
Yes, in full or in part, from the portal. Refunds are permission-controlled, so you decide which roles can issue them, and every refund carries a reason in the audit log.
Do patients get a receipt?
Yes. Receipts are emailed automatically, branded to your practice, and can be printed as PDF. Card-machine payments print the usual merchant and customer receipts on the terminal as well.
Books and integrations
Which practice management systems does Medipay connect to?
Dentally, with payments posting straight into the patient's ledger, allocated to the invoice. Cliniko and Semble connect today, with payment matching rolling out.
Which accounting software does Medipay connect to?
Xero, Sage Accounting and QuickBooks Online. Every payment posts across automatically, as a paid invoice in Xero, a receipt in Sage, and a sales receipt in QuickBooks. Salesforce is also supported, with payments posted as activities on the patient's contact.
How does reconciliation work?
Medipay matches acquirer payouts to individual payments, fee by fee, so the lump sum in your bank agrees with the payments in the portal without anyone matching them by hand.
Security and access
Do card details go through Medipay's servers?
No. Patients type their card into secure fields served by PCI DSS certified payment partners. Card numbers never reach or rest on Medipay's servers, or on the practice's.
How is staff access controlled?
Admin, supervisor and staff roles with a permission matrix you control, two-factor authentication on staff accounts, brute-force lockout on sign-in, optional IP allowlisting per workspace, and a full audit log of who did what.
Is there an API?
Yes. A REST API with webhooks for platform integrations, and an MCP server so AI assistants can query your own payments data with the same permissions and audit trail.
